How it works

From application to a live school portal

Every school applies online, is reviewed by the TapEdu team and is set up automatically on approval. A guided setup wizard then takes your administrator from an empty workspace to a school that is ready for staff, parents and students.

The onboarding journey

Seven steps from application to go-live

Here is exactly what happens, who does what, and what your school sees at each stage — with nothing switched on until a person at TapEdu has reviewed your application.

  1. Step 1 Your school

    Apply online

Fill in the registration form on tapedu.ng. You receive a reference number and a confirmation email.

Tell us about your school: its type and ownership, the address with state and LGA, CAC and registration numbers if you have them, estimated students and staff, the sections you run, the subdomain you would like, your preferred plan and a contact person. Applying does not create an account yet — it starts a review.

    • Upload your logo and a cover image now, or add them later
    • Keep your reference number to check your status at any time
    Start your application
  2. Step 2 TapEdu team

    TapEdu reviews your application

Our team reviews every school before it goes live, and may ask you for more information.

A member of the TapEdu team starts a review of your application. If anything is missing or unclear, your status changes to “needs information” and we email you to ask for it. Every status change is recorded and emailed to your contact person, so you always know where your application stands.

    • No school is switched on without a human review
    • Check progress online with your reference and email
    Check your application status
  3. Step 3 Automatic on approval

    Approval sets everything up

Approval creates your organisation, school, main campus, TapEdu subdomain and portal in one safe step.

When your application is approved, TapEdu creates your organisation, your school and its main campus, sets up your TapEdu subdomain (the one you asked for where possible), applies portal and onboarding defaults, and carries over the branding from your application. There is nothing to install and no server to manage.

    • Your school’s data is kept separate from every other organisation
    • Your public website stays unpublished until you are ready
  4. Step 4 Your administrator

    Your administrator is invited

The administrator receives a secure invitation by email to activate their account.

The invitation link is valid for 7 days. Accepting it sets the administrator’s password and gives them the right school role, such as Proprietor or School Admin. Everyone at your school signs in with their own account — no shared passwords.

    • 10 ready-made school roles, such as Proprietor, Principal and Accountant
    • 130 permissions you can switch on or off for each role
  5. Step 5 Your administrator

Work through the guided setup wizard

A 10-step setup wizard with 15 readiness checks shows exactly what is left before your school is ready.

On first login, your administrator is taken to the wizard: school profile, campuses, branding and portal, academic session and terms, sections, classes and arms, subjects, staff and teachers, students and guardians, enrolment and placement, and school settings. Save or skip any step and come back later. Readiness checks are graded critical, warning or info — honest pass or fail checks rather than a made-up percentage — until your setup status reaches “Ready for use”.

    • Set First, Second and Third Term, plus optional Summer and Holiday School
    • Sections for Nursery, Primary, Junior and Senior Secondary

  6. Step 6 Your administrator

    Import your existing records

Bring students, guardians, staff, subjects and enrolment across from spreadsheets.

Download a ready-made template for each import type, fill it from your existing records and upload it as a CSV, TXT or XLSX file of up to 10 MB. TapEdu checks every row and shows you a preview. Nothing is imported until you confirm, and you can download an error report for any rows that need fixing.

    • 5 import types, each with its own template
    • Import history keeps a record of every batch
    See admissions & student records
  7. Step 7 Your school

Invite your community and go live

Invite staff, create parent and student logins, choose a plan and publish your school website.

Invite staff by email, then create guardian and student portal logins — emailing the generated passwords or sending reset links. Assign teachers to their classes and subjects, turn on the optional modules you need, choose a plan under Billing, and publish your public school website once its readiness checks pass.

    • Parents with several children use one login for all of them
    • Works in any browser on phone or desktop — nothing to install

Before you apply

Gather these first for a faster setup

None of this is needed to submit an application — but having it to hand makes the setup wizard and your first imports much quicker.

FAQ

Questions about getting started

Straight answers about applying, review, setup and going live.

How do I register my school on TapEdu?
Fill in the online application on the Register Your School page with your school’s details, address with state and LGA, registration details if you have them, estimated students and staff, sections, a requested subdomain and a contact person. You receive a reference number and a confirmation email. Applying does not create an account — it starts a review by the TapEdu team.
How long does application review take?
It depends on how complete your application is and whether we need to ask for more information, so we do not promise a fixed turnaround. You are emailed every time your application changes status, and you can check it at any time on the application status page with your reference number and contact email.
What happens if TapEdu needs more information?
Your application status changes to “needs information” and we email your contact person to ask for what is missing. Once we have it, the review continues and you are emailed again when a decision is made.
What does the guided setup wizard cover?
Ten steps: school profile, campuses, branding and portal, academic session and terms, sections, classes and arms, subjects, staff and teachers, students and guardians, enrolment and placement, and school settings. You can save or skip each step. Fifteen readiness checks, graded critical, warning or info, show exactly what is left until your setup status reaches “Ready for use”.
Can we import existing students, parents and staff from a spreadsheet?
Yes. There are five import types — students, guardians, staff, subjects and enrolment — each with a downloadable template. Upload a CSV, TXT or XLSX file of up to 10 MB; TapEdu validates every row, shows a preview and imports only after you confirm. Rows with problems are listed in an error report you can download and fix.
When can staff and parents start logging in?
As soon as your administrator invites them. Staff are invited by email. Guardian and student portal logins are created by the school, which can email the generated password or send a reset link. You decide when — we recommend inviting people once your classes, students and guardians are in place.
Who sets up our public school website?
Your school does, through simple forms in the admin workspace — no web designer needed. Your TapEdu subdomain is created on approval. Pick one of five templates, add your branding, pages, news and photos, preview everything and publish when the website’s readiness checks pass.
