Admissions & student records

Admissions, enrolment and student records in one place

Record each applicant, move them from offer to enrolment in one step, and keep a complete history for every student, guardian and staff member. Bring your existing records across from spreadsheets.

Why it matters

One record for every learner, from admission to graduation

Stop re-typing the same details into registers, files and spreadsheets.

  • A clear admissions pipeline

Your staff record each applicant with guardian details, the intended class and notes, then mark them offered or rejected.

  • Enrol in one step

Enrolling an accepted applicant creates the student record, an auto-generated admission number and their class enrolment.

  • Complete student records

Profiles with photo, dates, address, status and documents, from active through to graduated, transferred or withdrawn.

  • Guardians linked properly

Link each guardian to one or more children as father, mother, guardian or caregiver, with emergency, pickup and access settings.

  • Class placement that stays accurate

Place many students into a class arm at once, transfer between arms, promote, withdraw or graduate, and keep the history.

  • Import, don't re-type

Upload students, guardians, staff, subjects and enrolments from CSV, TXT or XLSX files, and check a preview before anything is saved.

How it works

How admissions and records work in TapEdu

From the admissions office to the class roster.

  1. Step 1: Bring in what you have

Download a template, upload your existing students, guardians, staff and subjects, preview every row and confirm the import.

  2. Step 2: Record new applicants

Admissions staff add each applicant with guardian details and the intended class, and track them as submitted, offered or rejected.

  3. Step 3: Enrol and place

Enrol accepted applicants in one step, then place students into class arms one at a time or in bulk.

  4. Step 4: Keep records current

Update profiles, upload documents, link guardians and give students and parents their portal logins.

Frequently asked questions

Still deciding? Book a walkthrough and see it working with your own school's setup in mind.

Can parents fill in an admission form online?
Not through TapEdu. Admissions are recorded by your staff: they add each applicant's details, guardians and intended class, then track the applicant from submitted to offered, rejected or enrolled. Your school website's Admissions page can explain how to apply.
Can we import existing student records from a spreadsheet?
Yes. Download the template for each import type, fill it in and upload a CSV, TXT or XLSX file of up to 10 MB. TapEdu checks every row and shows a preview, and nothing is saved until you confirm. Rows that fail are listed in a downloadable error report.
How are parents and guardians linked to students?
Each guardian has their own record, linked to one or more students as father, mother, guardian, caregiver or other. Each link sets whether the guardian is the primary or emergency contact, can collect the child, receives notifications, and can see academics, attendance, reports and finances or make payments.
Can we track each applicant's admission status?
Yes. Every applicant moves through submitted, offered or rejected, and enrolled. An admissions snapshot on the admin dashboard shows where things stand, and enrolling an applicant creates their student record and admission number automatically.
Can we promote students to the next class?
Yes. Students can be promoted, transferred between arms, withdrawn or graduated, and each change is kept in their enrolment history. Promotion is done per student, while bulk placement lets you move many students into a class arm at once.
